Broker audit trail: what to save and how

Post by Shadow Trader »

Disputes with brokers are rare for most traders, but when they happen, documentation decides the outcome. A little discipline in advance pays off.

Useful records include: full trade history exports, regularly saved; platform logs, which often hold server responses with timestamps; screenshots of order tickets and confirmation messages in unusual cases; chat and email transcripts with support; and a copy of the client agreement as it stood at account opening.

For fill disputes, tick data from an independent source for the same time window provides a comparison. Screen recordings, mentioned earlier, can capture what the platform showed.

Keep records in more than one place, such as a cloud folder and an external drive, since accounts can be closed or locked, taking access to history with them.

Organizing files by date and account makes retrieval easy. A tidy folder with a clear naming scheme looks professional when sent to a regulator or ombudsman.

A simple system for organizing the audit trail: create a main folder per broker, with subfolders for each year and, within them, for statements, history exports, correspondence, screenshots and terms. Name files with the date first, in year-month-day order, so they sort chronologically. A short text file in each folder can hold notes on anything unusual, with a date.

Automation helps. A script can export platform history weekly and copy it to cloud storage, adding the date to the filename. A monthly reminder to download the broker's official statement as a PDF ensures that the formal record exists independently of the platform.

For particularly important events, such as a large trade during news, a dispute, or a platform failure, a short written note made the same day captures details that memory will blur: what the screen showed, what the support agent said, the exact times.

When the need arises, whether for a tax audit, a dispute or a broker change, a well-organized archive saves hours and often wins arguments. A messy pile of screenshots does neither.

What does the personal record-keeping system look like, and has it ever been needed?

Good list. Platform logs are the most useful and the most overlooked. In MT5, the Journal and Experts tabs, plus the files in the logs folder, record server responses with timestamps, and they are deleted after some time by default. We copy them weekly to another folder.

Also save the specification of the instrument when you open the account, such as the swap rates, the contract size and the trading hours. Brokers update those, and in a dispute it helps to show what the conditions were at the time of the trade.
