Managing Multiple Prop Accounts Without Losing Track of the Rules

Post by FXS Prop Desk »

Once you have accounts at two or three firms, the rules start to blur. A short system prevents expensive mistakes:
  1. One table: firm, account size, daily limit (in money), max loss floor (in money), reset time, news rule, weekend rule, inactivity days, next payout date.
  2. Daily update: fill in today's floor before the first trade.
  3. Separate terminals: one MT instance per firm, with the account name visible on the chart.
  4. Same strategy, different sizing: calculate lot size per account rather than using a copier multiplier blindly.
  5. Calendar alerts: payouts, inactivity deadlines, and expiry of the evaluation if there is one.
The classic error is trading the right setup on the wrong terminal with the wrong lot size. Colour-coding chart backgrounds per firm is a cheap fix.

How many accounts do you manage at once, and what system keeps you organised?

Three accounts is my ceiling, and the table lives on paper next to the keyboard. Writing today's floor by hand before the first trade forces me to actually look at it.

The step that saved me most was making the sizing script check the login number. If the account on the terminal does not match the row I picked, it refuses to calculate, so the right setup with the wrong lot size cannot happen through that route.

On copiers I agree, with one extra detail. Two firms can list the same gold or index symbol with different contract sizes, so a 1.0 multiplier between two 100k accounts can still double the real exposure on one of them.

Daily limits need care when firms reset at different hours. One of mine resets at 17:00 New York, which is 22:00 London, and another at midnight London, so for those two hours a loss lands on different days depending on the account.

Inactivity rules are the ones I nearly missed. A firm with a 30 day rule gets a calendar alert at day 20, and I place one small planned trade there.

How do others handle payout dates that fall in the same week? I stagger requests so one slow review does not hold up everything.
